Board Meetings
- Prepare Board meeting agendas in consultation with the Chair/President and Administration Assistant.
- Request and receive agenda items from other Board members.
- Circulate agendas and any supporting papers in good time.
- Liaise with the Events Director to confirm arrangements for Board meetings, eg venue, refreshments.
- Confirm that a quorum is present at each meeting.
- Assist the Chair in running the meeting as per the agenda times set out.
- Record the Minutes of meetings and circulate to the Board, if Administration Assistant is unavailable.
- Respond to and draft any general correspondence on behalf of TGNBC Board as required, including Government departments.
- Prepare outgoing correspondence as required (including thank you letters to monthly speakers) if Administration Assistant is not available. Monthly General Meetings
- Present the Secretary’s Report at each monthly meeting.
- Liaise with the Administration Assistant, record minutes of monthly General meetings and have copies available at each meeting for members to view if requested.
- Post the minutes of the monthly General meeting on the website.
- Assist on the registration desk at Chamber General meetings and functions.
- Assist the Sponsorship Director with the purchase of lucky door prizes as required. Annual General Meeting
- Circulate agendas and minutes of the Annual General Meeting (AGM) and any special or extraordinary general meetings.
- Ensure that all relevant documentation is prepared and available online to members for the AGM.
- Assist the Treasurer as required with the preparation of ASIC documents for the appointment and resignation of Directors.
- Present the previous year’s minutes for acceptance at the AGM.

Rachel Elliott, Owner of Lansdowne Property Group, is a seasoned Buyers Agent with a strong track record of buying property. Events Coordinator
- Liaise with the meeting venue to confirm booking dates, numbers attending, menu options, AV requirements, room set up requirements and any other general items in relation to the proposed event.
- Liaise with the Meetings Director to ensure that the AV, dietary and any other requirements of the speaker are met.
- Liaise with the Sponsorship Director, event stylist, photographer and AV service provider to coordinate the requirements of the meeting sponsor.
- Monitor meeting numbers via the website and keep the Board updated on bookings – in particular the Sponsorship Director – to ensure sponsors’ free meals have been booked and allocated for in final numbers.
- Liaise with the Marketing Director to ensure bookings are closed when numbers are reached, and notices go out to members to advise as such.
- Email a meeting reminder to attendees 24 hours before meetings.
- Ensure the most up to date list of those who will be attending is ready at the registration table for names to be marked off upon their arrival.
- Ensure dietary requirement cards for attendees are made available upon registration along with drink vouchers.
- Finalise the VIP table with the President and ensure appropriate signs are made to reserve tables if required.
- Arrive early at the venue and assist the Chamber banners/media wall are up and placed in the correct spot in the room.
- Keep the President updated regarding any changes that may arise prior to the meeting start time.
- Ensure that you are the contact person at the meetings and that communication is kept with the venue in the event and changes need to be made last minute.
- Assist any members and/or guests who are having difficulty registering for a monthly meeting, eg invoices, refunds, online issues, etc.
- Expected to attend and assist all events.
- Expected to attend Board meetings.

Working for a Federal Member of Parliament and in the Aged Care sector, I have developed a robust skill set in a demanding environment. I have extensive experience liaising with high profile public and private sector figures and the ability to communicate with diverse audiences.
During my career I have demonstrated exceptional problem-solving skills and excellent written and oral communication skills liaising with many different clients, organisations and business owners to achieve desired outcomes.
Currently I am in the Retirement Village, Assisted Living, Community Care and Residential Aged Care Sector with a highly varied skill set including Customer Service, Retirement and Assisted Living Sales, Community Care and Residential Aged Care Consumer Intake, Village Resident Liaison, Marketing and Advertising.
I have been on the board for The Greater Narellan Business Chamber for 3 years as the Secretary and now the Meeting Director, which is a valuable opportunity both personally and professionally, networking in the business community.
Meetings Director
(1) To direct and oversee all of the Chamber’s meetings activities.
Key Responsibilities:
- Together with the Board, source and manage monthly meeting speakers and negotiate costs and or manage other Board members who have organised speakers.
- Liaise with the speakers to determine their resource and dietary requirements as well as communicate the Board’s requirements (timelines for sending though presentations etc).
- Liaise with suppliers (decorators, DJ’s, AV Professionals bands etc) to determine their requirements as well as communicate the Board requirements.
- Co-ordinate with the Marketing Director for the promotion of General meetings, AGM, Premier’s Breakfast and other functions/events.
- Print off the menu for the meeting and have them on the tables.
- Source cake, flowers, hampers etc for special acknowledgements, thank you’s, celebrations etc (member’s birthdays etc).
- Arrive early to monthly meetings and co-ordinate room set up (liaise with decorators, DJ, AV board members, function staff etc).
- Be the contact person at the event, liaising between the President, MC and venue in the event issues arise and need to be dealt with.
- Help speaker/s and sponsors at the monthly meetings to set up.
- Co-ordinate the presentation of the room including manage external service providers.
- Assist the MC on meeting nights in the co-ordination of the meeting.
- Assist in the co-ordination of special meetings (ie Breakfast meetings).

- Be the first point of contact by email and phone for all Chamber sponsors and InKind sponsors.
- Develop the annual sponsorship packages for presentation to the Board.
- Promote the sponsorship packages to members and assist with any enquiries that may come from them.
- Ensure that all InKind sponsors have signed an InKind Sponsor Agreement.
- Ensure that the Marketing Director has the logo of each sponsor to use in marketing and promotional activities.
- Assist Gold Sponsors with their promotional video from Brick Studios.
- Co-ordinate the printing of the Chamber banner with the new sponsors’ logos, as required.
- Send monthly reminders to sponsors to RSVP for meetings and to bring banners to each meeting.
- Liaise with the Marketing Director to ensure that all sponsorship obligations are being met via promotion on our website and social media.
- Ensure that contact has been made in person or by phone in the first 2 months.
- Communicate with sponsors regarding all social media including Facebook, Instagram and LinkedIn.
- Actively seek other sponsorship opportunities such as special events, etc, that can be deemed as opportunity for further exposure of current sponsorship.
- Monthly General Meetings
- Liaise with each sponsor to confirm their preferred meeting date for their presentation.
- Liaise with the Marketing Director to co-ordinate the sponsor presentation(s) and ensure that all marketing material is approved and ready in time for the meeting.
- Liaise with the Events Director to ensure that that room decoration requirements have been provided and that sponsors’ free meals have been booked and allocated for in final numbers.
- In conjunction with the Events Director, ensure that all sponsors have their banners placed in the correct location at the meeting venue in a timely manner.
- Present the Sponsorship Update and introduce sponsors to present.
- Co-ordinate lucky door prizes for meetings and that they are given to the Sponsorship Director upon arrival at the meeting.

- Ensure all contractual obligations between the Chamber and other entities, including committees, sponsors (paid and contra) and suppliers, are in writing and current.

- Ensure secure and appropriate storage of key Chamber documents such as policies, meeting minutes and financial records.

- Oversee the process for recruitment, induction, professional development and performance evaluation of Directors.

Carlene Cardona
Carlene is the owner of South West Sydney Virtual Assistant, which she has run for the last 9 years in the Macarthur Region, where she provides support for Small to Medium-sized businesses with Social Media, Website Design, and Administration. Carlene is the Former President and Life Member of the Campbelltown Chamber of Commerce where she was on the board for 6 ½ years and was recently named a finalist at the Citizen of the Year for Campbelltown City Council for her contributions to the community through her various volunteer roles in both the business community and through her Charity work.
Carlene is also actively involved with the Charity Escabags, supporting survivors of Domestic & Family Abuse. Carlene has 2 young children and along with them is actively involved in Scouts NSW.
